Terms & Conditions

The terms for using GuestTrust, managing properties and booking your stay.

About these Terms

Last updated: October 5, 2026.

These Terms & Conditions govern your use of the GuestTrust website, booking services, guest accounts and property management platform. In these Terms, “GuestTrust,” “we” and “us” refer to the provider of the GuestTrust platform; “you” refers to a guest, visitor or authorized property user, as applicable.

Review these Terms before creating an account, completing a booking or purchasing a subscription. By accepting them in the relevant service flow, you agree to the terms that apply to your use. If you act for a property or business, you must have authority to accept them on its behalf.

Our services and the property's responsibilities

GuestTrust provides tools for searching accommodation, making and managing reservations, processing payment requests, and operating properties. Property teams can manage rooms, availability, rates, guests, check-ins, check-outs, reports and team access. Some plans also include AI features.

The accommodation provider identified in your booking is responsible for the stay, property information, facilities, room rules, safety arrangements and the services it supplies. Its booking, cancellation and privacy terms apply alongside these platform Terms. Contact the property for questions about your stay or its policies.

Features depend on the selected plan, account permissions, property configuration and service availability. A feature shown in a demo or promotional image is available to your account only if included and enabled for it.

Accounts and authorized access

Provide accurate contact and account information and keep it up to date. You must have legal capacity to use the service and authority to provide information about any other person included in a booking or property record.

Keep passwords, verification codes, invitation links and private booking links confidential. Do not share individual sign-in credentials. Property account administrators are responsible for assigning appropriate permissions and removing access when a team member no longer needs it.

Guest accounts and property dashboard accounts have separate access. Google or Apple sign-in is available when configured; the provider's own terms also apply. Inform GuestTrust through application support if you suspect unauthorized access.

Reservations, availability and confirmation

Before paying, review the property, room type, arrival and departure dates, number of adults and children, selected extras, price, payment currency and applicable property policies. You are responsible for the accuracy of the details you submit.

Search results reflect availability at the time of the request. A checkout hold protects inventory temporarily and can expire; it is not a confirmed booking. For an online paid reservation, confirmation depends on successful payment verification and a confirmation issued by the service.

Keep your booking reference and private access link secure. If a payment is pending or its result is uncertain, check the payment status or contact support before attempting another charge. Do not assume a booking exists solely because your bank shows a pending authorization.

Prices, currencies and payments

The price and payment amount displayed for the transaction govern the purchase, subject to correction of errors and applicable law. Review included extras, discounts and any disclosed charges before confirming. A display currency conversion may differ from the amount settled by the payment provider or charged by your bank.

Supported online payments are processed through Wompi. Its payment terms and personal data authorization are presented in the payment flow. By confirming a payment, you authorize the amount shown for that transaction using a payment method you are entitled to use.

When card saving is offered, it uses a payment provider reference rather than storing a reusable full card number or security code in GuestTrust's application database. Saving a guest card does not, by itself, authorize unrelated purchases. Each payment and any subscription renewal authorization must be reviewed in its respective flow.

Your bank or payment provider may apply exchange rates or fees under its own terms. For a disputed, duplicate or unsuccessful charge, provide the booking or payment reference through support; never send full card details or a security code.

Changes, cancellations and refunds

Cancellation eligibility and deadlines depend on the property and the policy shown for your booking. Review the deadline and time zone before booking. The self-service cancellation tool is available only when the reservation's status and cancellation window permit it; contact the property for requests outside that flow.

Cancelling a reservation and receiving a refund are separate steps. An eligible cancellation may create a pending refund request, but this does not mean funds have already been returned. Refund completion depends on the property's handling, the payment provider and your bank.

Booking changes are subject to availability, updated rates and property approval. These Terms do not remove any mandatory cancellation, withdrawal, refund or consumer rights available under applicable law.

Property accounts, plans and fees

Small, Plus and Pro AI provide different property allowances, features and AI usage limits. The plan information, quotation and checkout shown to your account describe the applicable price, billing cycle, additional property slots and limits. Do not rely on an old promotional price for a new purchase.

Subscription fees are separate from accommodation payments. Payment processing fees and any booking commission must be disclosed in the applicable pricing or commercial arrangement; these Terms do not introduce an additional undisclosed charge.

Plan changes can take effect immediately or at renewal, as shown in the confirmation flow. Review any prorated charge, scheduled change and resulting property allowance before confirming. Removing a property from a plan's active allowance does not by itself cancel its bookings or erase its stored records.

Subscription renewal and cancellation

When the subscription checkout includes automatic renewal and you confirm that authorization, recurring charges use the selected billing cycle and authorized payment method. Review the recurring amount and renewal terms displayed before purchasing.

Authorized account users can turn off automatic renewal in subscription settings. This stops future renewals that have not already begun; it does not reverse a completed charge. A scheduled plan change can be cancelled before it starts where that option is available.

Failed payments, an expired paid period or a refunded subscription may restrict paid features. Contact support about payment errors or refund requests. Any statutory refund or withdrawal rights remain applicable; no blanket waiver of those rights is created by these Terms.

AI assistance and usage credits

Where enabled, GuestTrust's AI features can answer supported questions about property data, analyze reports, suggest improvements and prepare supported operational changes. Usage allowances and credit rules depend on the plan and are shown in the product. Credits are service usage units rather than cash or an assurance of a particular result.

AI answers and suggestions can be incomplete or incorrect. Review the source records, dates, currency, availability, proposed copy and commercial impact before relying on them. Suggestions do not guarantee occupancy, revenue, savings or any other business outcome.

Preparing a proposal does not apply a change. Supported changes require an authorized user to confirm through the application's confirmation control, and the service may reject a proposal if permissions, availability or underlying records have changed.

Do not include passwords, verification codes, full card details or unnecessary identity or sensitive information in AI conversations. When an external AI provider is enabled, prompts and relevant context are processed as described in the Privacy Policy.

Your content and acceptable use

Property users remain responsible for the accuracy and lawfulness of property descriptions, images, rates, policies and operational records they provide. You must have permission to upload content and authority to provide personal information about guests or team members.

You retain your rights in content you provide. You authorize GuestTrust to host, process, display and transmit it as needed to operate the services you use, including displaying property listings and sharing booking information with the relevant property.

Do not use GuestTrust for fraudulent bookings or payments, unauthorized access, harassment, unlawful content, malware, interference with the service, or access to another guest's or property's private information. Do not attempt to bypass permissions, payment checks or usage limits.

GuestTrust's software, branding and original platform materials remain protected by their owners' intellectual property rights. Your use of the service does not transfer ownership of them.

Privacy and confidentiality

The Privacy Policy explains how information is handled across the GuestTrust website and application. A property's own privacy notice may separately cover how it uses booking and stay records.

Property teams must limit access to personal and confidential information to people who need it for authorized work. Exports, downloaded reports and copies taken outside GuestTrust must be handled securely by the person or business that obtains them.

These Terms do not replace a separate data processing or service agreement where one is required. Nothing in them authorizes using another person's data for unrelated purposes.

Availability, restrictions and ending access

GuestTrust depends on hosting, payment, email, sign-in and other service providers. Maintenance, technical failures and provider interruptions can affect availability. Unless separately agreed in writing, these Terms do not promise uninterrupted service or a particular service level.

We may restrict access where necessary to address unauthorized activity, security incidents, unlawful use or material breaches of these Terms, subject to applicable law. Paid feature access may also change with your subscription status.

Signing out, cancelling renewal or deactivating a property does not automatically delete all account, booking, payment or audit records. Contact application support about account closure or data requests; records may need to be retained for legal obligations or unresolved transactions.

Responsibility and disputes

GuestTrust is responsible for the platform services it provides, and accommodation providers are responsible for the accommodation and services they supply. Each user remains responsible for authorized instructions and content submitted through their account.

Nothing in these Terms excludes liability, remedies or consumer rights that cannot lawfully be excluded. AI suggestions, report estimates and currency displays should be checked against the relevant source records before making a decision.

Contact GuestTrust support first for platform concerns and the accommodation provider for stay-related concerns. These Terms do not impose mandatory arbitration or prevent you from using competent courts, regulators or other remedies available under applicable law.

Updates and contact

We may update these Terms as the service changes. The date above identifies this version. Material changes affecting an ongoing service or renewal should be communicated through an appropriate service notice and accepted where required by law; a revised website text does not remove rights attached to an existing booking or completed purchase.

For platform, billing or legal questions, use Contact support in the GuestTrust booking application or its Help Center. Include your account email and the relevant booking or payment reference, but do not include passwords, verification codes or full card details. For property-specific questions, use the contact details provided with the property or booking.
